Your band

Fan email lists

Collect fan emails on your public page, import a list, and send updates.

Build a mailing list of fans and send them updates about shows and news. Fans sign up on your public band page, confirm by email, and can unsubscribe any time.

Open it from the Fan email panel in your band page's left sidebar.

Who can use it

Fan email takes the Principal, Core or Manager role. The Fan email panel doesn't appear for anyone else. See Members and permissions.

How fans sign up

Your public band page shows a Get updates form. Fans enter their email (and their name, if they like), tick the box saying they want updates, and click Subscribe.

Every new fan gets a confirmation email first. They're only added to your list once they click Yes, send me updates in that email. This keeps typos and fake signups off your list.

If someone who's already subscribed signs up again, nothing is sent. They're told they're already on the list.

Turn the signup form on or off

In the Fan email panel, use the Show signup on public page switch. The form is on by default.

The form only shows on a public page. If your band page is still private, turning the switch on makes it public, so fans can find it.

Choose where the form appears

Open the public page editor and pick Bottom of page or Top right under Mailing list signup. Top right shows a smaller form with just the email box.

Send an update

  1. In the Fan email panel, click Compose.
  2. Enter a Subject, like "Gig this Saturday at The Fillmore".
  3. Write your Message. You can use headings, bold, italics, lists and links. To add a photo or gig poster, click the image button () and upload a JPG, PNG, GIF or WebP up to 5 MB, or paste one straight in.
  4. Click Send test to me to see it in your own inbox first. The test goes to your account's email address with [TEST] in the subject.
  5. When it looks right, click Send to followers and confirm.

The email comes from your band's name. When fans reply, the reply goes to your band's contact email from the band profile, or to your own email if the band doesn't have one.

An unsubscribe link is added to the bottom of every email automatically.

The top of the page shows how many followers are active, waiting to confirm and unsubscribed. Send to followers only sends to active followers, and stays greyed out until you have at least one.

Drafts

Click Save draft to finish later. Your five most recent drafts are listed under Drafts. Click one to keep editing. Sending a test also saves a draft, so you won't lose what you wrote.

To get rid of one, click the trash button () next to it. When you send a draft, it's removed from the list.

Recent sends

Your last ten sends are listed under Recent sends, with how many emails went out and when. If some emails couldn't be delivered, the count shows fewer sent than the total.

Sending limits

  • Up to 3 sends per band per day.
  • Up to 500 active followers per send.

Manage your followers

In the Fan email panel, click Followers. The list shows each follower's email, name, status, and whether they joined through your Signup form or were Imported. Use the buttons above it to filter:

  • Active: confirmed and getting your emails.
  • Pending: signed up or invited, but hasn't clicked the confirmation link yet.
  • Unsubscribed: clicked the unsubscribe link.

For pending followers, Resend sends the confirmation email again. The trash button () removes someone from the list completely.

Add people you already know

If you've collected emails at gigs or have an old mailing list, you can invite those people:

  1. On the Followers page, paste the emails into the Import emails box, one per line. You can also separate them with commas, or include names like Alex <alex@example.com>.
  2. Tick the box confirming these people expect to hear from your band.
  3. Click Send confirm invites.

Each person gets the same confirmation email as a public signup, and only joins your list if they click it. Up to 100 addresses at a time. Anyone already active is skipped, and anyone still pending gets their confirmation email again. Anyone who unsubscribed is skipped too. You can't add them back, but they can sign up again themselves from your public page.

Only import people who'd want to hear from you. Sending invites to people who never asked hurts your band's reputation and can push your emails into spam.

What fans see

  • The confirmation email comes from The Band Plan and names your band. It has a Yes, send me updates button. If they didn't sign up, they can ignore it and won't be added.
  • Your updates come from your band's name, with an unsubscribe link at the bottom.
  • Unsubscribing takes one click on the link, then one confirm. They stop getting your emails straight away.

Fans who unsubscribe can sign up again later from your public page.

Emails not arriving?

Ask fans to check their spam and promotions folders. Newsletter delivery shows how to move emails to the main Gmail inbox so future ones land there.
